What does each booking status mean?

Live appointments available / Instant booking — a real transactional integration exists with the provider's scheduling system; a slot you book is confirmed by that system. Appointment request — you submit a request; it is not an appointment until the provider confirms. Book on provider website — booking happens on the provider's own site. Call to schedule — no online path exists. Availability not connected — Spot Now can show verified directory information but no calendar.

Why do some providers show no appointment times?

Online availability requires the provider's scheduling system to be connected to Spot Now. Where a provider hasn't connected yet, we offer the fastest alternative path: their own booking page, click-to-call, or a callback request — and you can ask to be notified when live booking becomes available.

How do I reschedule or cancel?

From My Appointments, choose the appointment and select reschedule or cancel. Rescheduling keeps your existing appointment until the replacement is confirmed. Before cancelling you'll see the provider's deadline, any fee, the refund amount and timing, and a reschedule option. No-show and late-cancellation fees apply only where the policy was clearly disclosed, you accepted it, and the charge is legally and contractually permitted — and every charge has a dispute process.

How do I prepare for my appointment?

Your confirmation lists preparation requirements — fasting for certain labs, bowel preparation for endoscopy, implant screening for MRI, a responsible adult for sedation. Reminders are sent 7 days, 48 hours, 24 hours, and 2 hours before your visit (timing configurable). Sensitive clinical details never appear in unsecured emails, texts, or calendar events.

Can I book for my child or someone I care for?

Yes — accounts support minor children, adult dependents, legally authorized representatives, guardians, and caregivers with limited permissions, each with authorization and verification workflows. Special restrictions apply to adolescent and sensitive-service records where required by law.

Is there a waitlist for earlier times?

Where the provider supports it, set preferences — date range, days, time of day, distance, provider, in-person or virtual — and Spot Now notifies you when a matching slot opens, applying a documented allocation rule so offers are fair and time-limited.

How does insurance information work on Spot Now?

Participation data comes from providers, carriers, and contracted networks, and is refreshed continuously. As with any plan, confirm participation and benefits for the specific provider, location, service, and appointment date — plan networks change.

What will I pay?

Before you confirm, Spot Now separates the amount due today, the amount due at the appointment, deposits, copay estimates, self-pay amounts, and potential cancellation or no-show fees. Professional, facility, anesthesia, laboratory, pathology, and platform fees are itemized separately where applicable. Estimates are never guarantees — final charges may differ based on services rendered. See the Financial & Payment Terms.

How are refunds handled?

Refund amount and timing are shown before you cancel. Provider-initiated cancellations are prioritized for rebooking and refunds are processed per the Cancellation & Refund Policy. Card data is handled by a payment processor — Spot Now never stores raw card numbers or CVV.

Account security features

Email verification, strong passwords, a passwordless login option, multifactor authentication, secure reset, session timeout, device and active-session management, and notifications for material account changes. Optional device biometrics never store raw biometric data.

Calendar integration

Add appointments to Apple Calendar (standards-based .ics), Google Calendar, or Microsoft Outlook. The default event title is simply “Scheduled Appointment” — you choose whether to include the provider or service name. Diagnosis, results, and sensitive details are never placed in calendar content.

Virtual visit troubleshooting

Run the device test from your appointment page — camera, microphone, browser, and connection. If video fails during a visit, the telephone contingency process connects you with your provider. See Virtual Care.

Report incorrect provider information

Every provider profile has a report link, or write to support@getmyspotnow.com with the listing and the correction. Our data team reviews every report and works with the provider to correct the listing quickly.
